Adams & Martin Group is seeking TWO Legal Receptionists in Chicago, IL to provide immediate front-desk and client-facing support. This role is critical in creating a seamless and professional experience for clients, attorneys, and guests.
This position functions similarly to a concierge/front-desk receptionist but with greater involvement in client experience, meeting preparation, and administrative support. Though this is a temporary role, there is potential for long-term or permanent opportunities depending on individual performance.
Title: Legal Receptionist
Type: Temporary with the option for hire based on performance
Location: Chicago, IL - Downtown
Schedule: Monday - Friday; 8:00 am - 5:00 pm with 1 hour lunch
Compensation will vary upon experience:
- Entry: $40,000 - $45,000 annual
- Mid: $50,000 - $55,000 annual
- Senior: $55,000+++
Job Description:
- Serve as the primary point of contact for all visitors; greet and check in clients, attorneys, and guests.
- Ensure clients sign required confidentiality or participation agreements.
- Provide directions to conference rooms, café areas, and shared spaces.
- Communicate lunch schedules.
- Prepare conference rooms daily: ensure they are clean, stocked, and fully equipped.
- Restock café/snack areas; monitor expiration dates and inventory levels.
- Assist with hybrid meeting setup, including Zoom support and room technology coordination.
- Schedule conference rooms for hearings.
- Help moderate hybrid sessions as needed.
- Open and secure the office each day.
- Serve as the point of contact for building management/security.
- Ensure security has the daily visitor list.
- Accept and distribute mail, packages, and deliveries.
- Communicate issues to building teams or management as needed.
- Order lunches for hearings, considering dietary needs and client preferences.
- Coordinate with vendors to ensure delivery access to the secured floor.
- Perform high-volume data entry of worksheets and hearing-related documentation.
- Maintain and monitor shared inboxes; direct emails appropriately.
- Answer phones and route calls.
- Print documents and provide general administrative support to the operations team.
Qualifications
- Experience in a front desk, receptionist, or hospitality/client service role preferred.
- Strong interpersonal skills
- Excellent verbal communication with a polished, professional presence.
- Strong organizational and multitasking abilities.
- Proficient with MS Teams, Zoom, and comfortable learning proprietary systems.
- Ability to work in a fast-paced, client-focused environment.
- Reliable and committed to being onsite daily.
